BOOKING TERMS & CONDITIONS
Thank you for choosing us for your holiday/short break. We very much look forward to welcoming you to our Shepherds Lodge in Ash Woods.
By making this booking you are entering an agreement with Ash Woods Retreat so please take time to carefully read our Terms and Conditions of booking below.
Booking Confirmation and Payments
Booking and Payments can be made online using the booking system on the website. Bookings can only be accepted by persons over the age of 18.
All bookings will be confirmed by email. Links for additional information, directions and maps are sent at this time.
Ash Woods Retreat has the right to refuse any bookings that we feel may be of a detriment to the site and reputation of Ash Woods Retreat. Hen parties/stag parties are only accepted on special agreement with us.
Prices
The price quoted is for the use of the Shepherds lodge. It includes the bed linen, pillows and towels for up to 6 people and will be equipped with the above according to the number of people on the booking form.
The price also includes a complimentary supply of wood for the wood burner stove and the fire pit. More wood and barbecue charcoal is available at request so no need to worry about trips to the local stores.
Ash Woods Retreat has the right to alter its prices at any time, however, prices stated on the booking confirmation will be honoured.
Deposit
On booking, you will be required to pay a 25% of the full price as a non-refundable deposit, and the balance must be paid 30 days prior to arrival. If booking within 30 days then the full amount is payable (the non-refundable deposit and the balance).
Arrival
The Shepherds Lodge will be available from 3.00 pm on the day of your arrival. It would be in your own interest to arrive in daylight allowing you time to enjoy the walk to the lodge and get settled in before dark.
A meet time can be confirmed with a member of Ash Woods Retreat to point you in the right direction and take any luggage to the lodge.
Departure
Departure time is 10.00am and the shepherds lodge should be left tidy and as you found it. The rubbish is to be disposed of in the bins supplied in the recycling and bin storage area provided. Please report any breakages as soon as possible so that we can replace it ready for the next guests. We will only charge in exceptional cases.
Cancellation
In the event that you need to cancel a booking later than 30 days prior to your arrival, a further 25% of the total booking fee will be retained and the balance refunded after we receive your cancellation email. We consider this to be fair and if we can source occupants for the cancellation dates we will refund the full balance minus the non-refundable deposit. There will be no refund for cancellation within 48 hours.
Ash Woods Retreat cannot be held liable if, through Force Majeure, the implementation of the agreement is entirely or partially, temporarily or permanently, prevented due to circumstances which are beyond the control of Ash Woods Retreat, including the threat of war, blockades, fire and other disruptions or has to evacuate the site (due to inclement weather for example) or cancel the Shepherds Lodge for any reason outside our control. In these circumstances we shall offer a full refund. Ash Woods Retreat at Lower Ash Farm cannot accept liability or responsibility for any consequential loss that may be incurred by the guest due to these circumstances.
Parking
Parking is available in the designated car park. The gate must be latched shut to keep any farm animals out of the car park. Guests are responsible for their own property including their vehicle for the duration of their stay. Ash Woods Retreat cannot be held responsible for any lost or stolen property.
Dogs
We are a working dairy farm and unfortunately we cannot allow guests to bring dogs or any other pets with them.
There is a kennels nearby approximately less than 0.5 miles
Children
Children must be supervised by an adult at all times. Ash Woods is an exciting place for children to explore but parents or guardians are responsible for them at all times. Please be extra aware of the streams, uneven terrain, slippery slopes, high rocks, hammock and rope swing, the fire pit, barbecue and the wood burner stove.
Do not eat or drink anything found in the woodland. For bites and stings seek medical advice. This is just a few dangers to mention. Ash Woods Retreat accepts no responsibility for injury incurred on site.
Maximum Occupancy
The Lodge can sleep up to six people 1 double sofa bed and I giant bed of 2 double mattresses. There is no dividing door or curtain between the two beds.
Recycling and Rubbish Storage
Bin storage is provided near the lodge for your use and a recycling tub for bottles and cans.
Smoking
Smoking is not permitted inside of the Lodge. A cigarette bin is available outside or the fire pit can be used.
Regulations
Guests are legally obliged to take all reasonable care of Ash Woods Retreat including, the lodge, fixtures, fittings, furniture, and outside decking and facilities. Considerate and Safe behaviour in the woods and the premises is required at all times.
Guests are responsible for their own safety. We strongly recommend boots and sensible clothing is worn while walking and exploring the woods.
Please do not release Chinese Lanterns or fireworks in and around the woods as they pose a risk to the livestock and crops on the farm.
Fire safety must be practised at all times. Fire may only be lit inside the purpose built fire pit, the barbecue must only be kept on the fire resistant mat when lit and the doors of the Wood burner stove must be closed when lit.
